CHAPTER THREE
SYSTEM ANALYSIS
This chapter is based on the outcome of interviews and research work carryout inside the general hospital jega. Analyze the system and look for possible areas that need to be taken in order to make it more in turn with the computerization objectives, which this project is trying to achieve. This will give clearer features of the situation before and after the benefits of computerization are fully employed.
3.1 RE-STATEMENT OF THE PROBLEMS
The problems associated with the system store management as defined are:
Lack of beat and patrol system
Lack of proper record
Lack of condoning and searching known item areas
Lack of monitoring a discrete surveillance on known item
Lack of educating the habitants on how to recognize some item.
3.2 RE-STATEMENT OF OBJECTIVES
1. To use computer to overcome, the searching of item and item area.
2. To use computer in keeping records
3. To use computer to improve record keeping of the entire item in the store.
3.3 PROGRAM SPECIFICATION
Procedure password prompts the user to enter username and password. If password is incorrect that display error message and quit to Visual Basic environment procedure to main menu.

3.4 ANALYSIS OF INPUT
Input of store record are data collected by the system for its use and these are stock data, item record and the staff on duty record.
The stock data is a data collection for every item that is consisted of all the necessary information about the item. It consists of:

The next record is the item record, which is the record of the categories of every item. It has its own record based on the types.
3.5 THE ANALYSIS OF REQUISITION
This contains all the item information which will allow the department to make a request of item.

3.6 THE REPORT
This counts all the input and output that you make during the store automation system it will give you a standard report that you can prosecute to the management.
The report it contains are:
(1) STOCK LEVEL REPORT
This contains the different items in the list of item that can be maintained in and out of the stock management. Therefore it contains the donation of item number and number available.
(2) REQUISITION REPORT
This contains the different request making in the store, it will allow you to alter the data from and to and view it. It will view the exact reports that make requested the data.
(3) NEW STOCK REPORT
This means the new item arrival in the store information, it contains; Enter data, From, To, View. It will exact the specific item that arrival in that present data.
New output requirement of the output required are the end product of searching of the item which is the reason for having the system and if the output is not analyzed, then there is no essence of the system.
The output it contains in the information item therefore is:
(a) Item category which means from which categories items are coming from, e.g.
Cleaning material
Donation
Furniture Department
Office Equipment
(b) Item name: It depends on which item it will be added in the store. It may be from
(1) Cleaning material
(2) Donation
(3) Furniture Department
(4) Office Equipment
This will create the exact item that you added into the store management.
